Job Purpose

 

Administration Officer serves as a linchpin for organizational effectiveness, contributing to the overall success of the business by maintaining order, optimizing processes, and fostering a positive and efficient working environment.

Main Tasks and Accountabilities

 

1.    Report Preparation:
•    Compile and analyze data to prepare comprehensive reports for the administration department.
•    Ensure accuracy and completeness in all reports, highlighting key findings and trends.


2.    Data Collection:
•    Gather and consolidate relevant data from various sources to facilitate informed decision-making.
•    Maintain databases and records to ensure the availability of up-to-date and accurate information.


3.    Documentation:
•    Create and manage department documentation, including policies, procedures, and guidelines.
•    Regularly update documentation to reflect changes in processes or policies.


4.    Internal Policy Preparation:
•    Collaborate with team members to develop and update internal department policies.
•    Ensure policies align with organizational goals and industry best practices.


5.    Workflow Process Design:
•    Analyze existing workflows and processes to identify areas for improvement.
•    Design and implement streamlined workflow processes to enhance department efficiency.


6.    Spending Investigation:
•    Conduct thorough investigations into departmental spending.
•    Identify cost-saving opportunities and propose strategies for effective budget management.


7.    Continuous Improvement:
•    Conduct case studies to identify areas for continuous improvement within the department.
•    Collaborate with team members to implement and monitor improvement initiatives.


8.    Collaborative Teamwork:
•    Work closely with colleagues and other departments to ensure seamless coordination.
•    Foster a collaborative work environment that encourages open communication and teamwork.


9.    Communication Skills:
•    Effectively communicate findings, recommendations, and updates to team members and relevant stakeholders.
•    Respond promptly to inquiries and provide necessary information to facilitate decision-making.

Education Level  Bachelor’s degree in Business Administration, Management, or a related field.
Work Experience 2 years of experience working in administration field.
