Job Purpose
|
The expeditor is responsible for facilitating the efficient flow of materials, supplies and information within the organization to ensure materials are delivered in a timely manner to minimise material shortages. Expeditor shall be the liaison between all departments and suppliers to mitigate potential impacts due to late delivery or material shortages. |
Main Tasks and Accountabilities
- Coordinate Material Flow: Manage the timely delivery of all materials to ensure deliveries are on schedule.
- Order Management: Follow up on Purchase Orders, confirm delivery schedules, and expedite delayed shipments.
- Supplier Liaison: Communicate with suppliers to resolve issues related to material shortages, quality, or delivery delays.
- Cross-functional Collaboration: Regularly interface with Engineering and Operations (to approve submittals), Procurement (to finalize POs), and Project Management (to report status).
- ERP/MRP Mastery: Expert-level use of systems like SAP, Oracle, or Microsoft Dynamics to track material movements.
- Data Reporting: Experience creating "Expediting Status Reports" (ESRs) or dashboards that provide clear, high-level visibility to executives.
Main Tasks and Accountabilities
- Technical Literacy: The ability to interpret technical drawings, Bills of Materials (BOM), and Material Test Reports (MTRs) to ensure what is being shipped is actually what was ordered.
- Recovery Plans: Experience developing "catch-up" schedules when a vendor falls weeks behind.
- Operations Support: Coordinate with Operations/Engineering Team including Project Teams and Operations to ensure materials arrive on time for scheduled work scopes.
- Quality Assurance: Ensure all documentation has been supplied in accordance with issued Purchase Order requirements, including applicable certification.
- Expediting Tracker: Update and maintain the expediting trackers to monitor the status of all orders and deliveries and notify the Procurement Team Lead of potential material delays.
Main Tasks and Accountabilities
- Coordinate domestic and international inbound and outbound shipments including but not limited to domestic shipments (air, sea, road).
- Liaise with Procurement, Project Teams, and Warehouse Teams related to the day-to-day operation and project activities.
- When required arrange transportation, collection, and delivery of materials and equipment to operational site.
- Assist with freight forwarders, transport companies, and customs clearance agents.
- Support the Logistics team and any other duties as directed by the Logistics Manager.

Background Knowledge and Experience
|
Education Level – Minimum Preferred
|
Bachelor's degree in Engineering, preferably specializing in Oil & Gas, Petrochemical, or Energy industries
Or an associate's degree in a relevant field (e.g., Mechanical or Civil Engineering Technology) acceptable when paired with relevant technical certifications or trade experience. |

Work Experience
|
Minimum of five (5) years’ experience in expediting and logistics or a similar role.
